ROLE SUMMARY

The Clinic Manager has an overall responsibility to manage and control the operational environment of a clinic.

The successful incumbent will be accountable for achieving specific revenue and profit targets in combination with key performance metrics.

The incumbent will also be responsible for the operational efficiency of the facility, including all business areas as well as liaising with a diverse network of external and internal stakeholders in order to ensure operational excellence, business growth and long-term sustainability.

As a Clinic Manager, you are required to be a Brand Ambassador by providing the best and safest person-centred quality customer service whilst living our values of care, truth, participation, compassion and dignity.

ORGANIC GROWTH

Profitability attained

  • Adequate controls to ensure correct daily billing.
  • Monitor weekly update of Medprax file.
  • Calculation of doctor consulting fees as per contractual agreement.
  • Manage overhead expenses according to budget.
  • Enforce correct procurement process.
  • Ensure that all GRV's are done on a daily basis.
  • Compliance to procure from Netcare preferred suppliers.
  • Control and manage variable staff cost.
  • Ensure timeous submission of all supplier invoices for payment.
  • Ensure compliance to month-end process.
  • Monthly variance reporting to finance.
  • Ensure follow-up on exceptional variances for correctness.
  • Ensure formal communication to finance should adjustments be made.
  • Monthly detailed review of financials (Income Statement).
  • Review outstanding GRV report and ensure action and resolution.
  • Provide input as required for budget.

Working Capital Management

  • Ensure patient validation is in place.
  • Ensure daily real time switching.
  • Follow up on exception reports.
  • Manage switch rejection reports.
  • Ensure daily collections of all private accounts, levies and long outstanding debts.
  • Manage the maintenance of the debtor book i.ro. Classification of debtors, small balance write offs, etc.
  • Monthly calculation of debtor’s days and collection targets.
  • Enforce process to ensure the correctness of the patient’s details on the system.
  • Ensure all patients receive an invoice /statement before leaving the clinic.
  • Monitoring and controlling of bad debts.
  • Ensure all cash is banked on a daily basis.
  • Ensure daily reconciliation of cash/payments.
  • Manage and monitor remittance in transit recon on a monthly basis.
  • Follow up on long outstanding amounts on remittance in transit recon.
  • Ensure timeous allocation of medical aid remittances.
  • Ensure follow up process for rejections on medical aid remittances.
  • Assist in determining the minimum stock levels.
  • Management of stock, e.g. daily cycle counts, daily clearing of negative stock, etc.
  • Monthly calculation of stock days.
  • Ensure stock does not exceed the maximum level as determined by the policy.
  • Ensure compliance to Netcare preferred suppliers.
  • Enforce daily GRV process for all stock received.
  • Daily controlling of stock profit percentage.

Capital Expenditure and Asset Management

  • Ensure compliance to Company Policy and Procedure.
  • Manage capital expenditure according to annual budget allocation.
  • Ensure all company assets are bar coded.
  • Ensure physical asset verification of assets on an annual basis.
  • Ensure compliance to Netcare preferred supplier list as applicable.
  • Physical facility infrastructure to be continuously managed and maintained.
  • Input required for replacement of assets when compiling the budget for the next financial year.

Risk Management

  • Ensure accurate segregation of duties.
  • Ensure compliance to Company Policy and Procedure.
  • Manage compliance to prevent repeat audit findings.
  • Enforce a billing audit process.
  • Ensure timeous monthly sign off on dummy payslips.
  • Ensure the clinic has an updated register for all contracts (staff, doctors, suppliers, etc.)
  • Uphold compliance to contractual obligations.
  • Ensure daily back up of server.
  • Ensure all staff understand the password protection policy.
  • Register of all staff with access to software and relevant authorisation levels.
  • Ensure correct system access is requested for new staff members.
  • On termination of employment, follow up with revoking of access for the employee.
  • Compliance to Occupational Health and Safety.

Customer satisfaction

  • Address queries, escalations and complaints within the defined SLA.
  • Ensure appropriate follow up and resolution for all customer complaints.
  • Maintain a customer friendly environment.
  • Ensure all staff are trained on dealing with customers or patients.
  • Be a model of excellent customer service, ensuring that all customers experience an excellent and satisfactory interaction at all times.

CONSISTENCY OF CARE

Governance and Compliance

  • Implementation of QMS within your clinic environment.
  • Ensure full compliance to the statutory requirements, policies, procedures and professional standards pertaining to the different disciplines.
  • Complete monthly CSA (Control Self Assessments) and action Non-conformance reports accordingly within the stipulated timelines.
  • Conduct quarterly Management review meetings with an Agenda and Minutes post meeting.
  • Ensure the accurate logging of IMS on system.

People management

  • Create and maintain a positive structured working environment where the differences of others are recognised, understood and valued so that all can reach their full potential and maximize their contributions to the organisation.
  • Monthly meetings with all relevant staff to discuss operational and clinic challenges and provide feedback.
  • Manage and control absenteeism and ensuring records are kept up to date.
  • Approve timecards timeously on Kronos.
  • Manage leave applications timeously.
  • Ensure compliance to the relevant Policies and Procedures.
  • Ensure effective communication within the clinic environment.
  • Maintain retention of staff.
  • Manage all disciplinary actions.
  • Timeous and accurate submissions of all HR related forms.
  • Arrange weekly meetings for clinic management staff.
  • Identify training needs of staff and arrange appropriate training if needed.
  • Arrange Induction program for all new employees.
  • Execute the relevant micro - orientation program at clinic level for the new employee.
  • Maintain attendance registers for all staff.
  • Monitoring and measurement of deliverables for all staff e.g. meeting of deadlines, improvement of debtor book, etc.
  • Provide timeous guidance and feedback to direct reports to support strengthen skill areas and leverage on potential.
  • Ensure compliance to appropriate clinic staff ratio/skill mix.
  • Ensure business continuity prevails should staff be on leave.
  • Overall supervisory role on the daily operations of the clinic.
  • Adopt an open door policy for staff and doctor engagement.
  • Be visible to your staff, practitioners and patients.
  • Participate in the panel interviews as part of the formal recruitment process.

Performance management

  • Manage the performance and delivery of all direct reports.
  • Follow Company policies and procedures.
  • Motivate your team to deliver optimally on responsibilities.

Organisational Growth

  • Ensure retention of current practitioners.
  • Marketing initiatives to ensure volume growth.
  • Encourage staff to freely communicate their innovative concepts to increase growth opportunities in the clinic.
  • Encourage internal marketing within the departments.

Teamwork

  • Be an active member of the Clinic’s management team by taking responsibility for sharing best practice and standardisation.
  • Co- operate and collaborate with other clinics and departments to provide appropriate patient experience.

SKILLS PROFILE

EDUCATION

Required

  • Grade 12 or equivalent NQF level 4.
  • Degree or Diploma in Business, Health or Finance at NQF level 7.
  • Post Graduate qualification will be advantageous.

WORK EXPERIENCE

Required

  • Minimum of 5 years’ experience in Managerial role in healthcare.
  • Experience working in a business orientated and customer focused environment.
  • Demonstrate high standards of achievements and the ability to work across multidisciplinary.
  • Experience in budget development, management and tight cost control.
  • Experience in the healthcare / medical aid industry.

KNOWLEDGE

Required

  • Good understanding of the healthcare industry.
  • Computer literate – MS Word, Excel, MS Team, Outlook, etc.
  • Proficient understanding on relevant legislation.
  • Attention to detail, accuracy and exceptional organising skills are essential.
  • Excellent verbal and written communication skills.
