Position details Position: Reservation Manager Location: Waterfront Staycation, Zanzibar Reports to: General Manager Job summary The Reservation Manager is responsible for overseeing all reservation activities of the property to ensure maximum room occupancy, revenue optimization, and excellent guest service. The role involves managing booking systems, supervising reservation staff, coordinating with sales and front office teams, and ensuring the smooth handling of guest reservations from inquiry to arrival. Key responsibilities The Reservation Manager will be responsible for the following duties: Manage all hotel reservation processes and daily booking activities. Ensure accurate room allocation and availability management. Monitor occupancy levels and update rates according to management instructions. Handle group bookings, corporate reservations, and VIP guests. Ensure all reservations are entered correctly into the system. Revenue and sales support The Reservation Manager will support revenue growth and sales operations by performing the following duties: Maximize room revenue through proper room selling techniques. Monitor booking trends and prepare occupancy forecasts. Coordinate with the sales and marketing team on promotions and special offers. Reduce booking errors, cancellations, and no-show losses. Guest service The Reservation Manager will ensure excellent guest service by carrying out the following responsibilities: Ensure timely responses to guest inquiries through phone, email, and online platforms. Resolve reservation-related complaints professionally. Maintain high standards of customer service and communication. Team management The Reservation Manager will be responsible for supervising and supporting the reservation team through the following duties: Supervise and train reservation staff. Prepare duty schedules and monitor team performance. Ensure staff follow company policies and reservation procedures. Reporting and administration The Reservation Manager will handle reporting and administrative duties, including: Prepare daily, weekly, and monthly reservation reports. Monitor OTA (Online Travel Agency) platforms and booking channels. Maintain proper reservation records and documentation. Coordinate with Front Office and Housekeeping regarding arrivals and room status. Educational requirements Applicants must have the following qualification: Bachelor’s Degree in Hospitality Management, Tourism, Business Administration, or a related field. Experience requirements Applicants should meet the following experience requirements: Minimum of 3–5 years of experience in hotel reservations or front office operations. At least 1–2 years of experience in a supervisory or managerial role is preferred. Experience with hotel PMS systems such as Opera, IDS, or similar reservation software. Required skills and competencies Applicants should possess the following skills and competencies: Strong communication and customer service skills. Knowledge of OTA platforms and hotel booking systems. Revenue management and upselling skills. Leadership and team supervision abilities. Strong organizational and reporting skills. Attention to detail and problem-solving ability. Proficiency in Microsoft Office and reservation software.
